Meeting Rooms
The library has a large community room that seats up to 100 people and a small room for private study that seats 4 people. Both are available for use by outside organizations and individuals.
Applications for using the rooms are available at the library.
Groups interested in using the Community room should read the meeting room policy to ensure that your event falls within the library's guidelines for use.
LIBRARY COMMUNITY ROOM
The library's policy for public use of the library's meeting rooms is determined by the Board of Trustees and administered by the library Director or designate. The Board reserves the right to amend this policy any time without notice.
The primary use of the community reading room is for library sponsored activities.
Friends of the Geneva Public Library activities are given first priority when the meeting room is available.
Other non-library organizations that are engaged in educational, cultural, intellectual or charitable activities may use the meeting room on a first-come, first served basis in accordance with the following:
- Meetings are open to the general public and advertised as such.
- No admission fee, other charge, or commitment for any future payment is solicited from those attending.
- Meeting causes no interruption or inconvenience to on-going library activities.
- The room is not available as a regular meeting place for non-library organizations.
- Smoking or alcoholic beverages are not allowed.
- Meeting room is available only during library hours, unless there is prior approval by the library director. A fee will be charged for a staff member to be present out of library hours.
- The sponsoring group or organization must be clearly identified in all announcements, press releases, flyers relating to meetings and all such must clearly state the meeting is not sponsored by the Geneva Public Library. The Library’s address and telephone numbers may not be used by any non-library related group for any purpose.
- Application must be made on forms provided at least one week and no more than three months in advance.
- Application must be made by an adult who is personally responsible for the meeting adherence to these regulations, payment of any fees and for any damages.
- The library must be notified promptly of any cancellations. Failure to do so may be grounds for declining future meetings.
- The group is responsible for refreshments served, and for maintaining order and cleanliness of the room. Trash must be removed by the group.
- Number of people attending must be reported following the meeting for statistical purposes.
- The library trustees reserve the right to cancel or suspend any permission granted to any group or organization that violates these rules and regulations or on any other reasonable grounds.
- The use of the library’s meeting room does not constitute an endorsement of an organizations policies or beliefs.
- The following release must be signed by each individual:
“The undersigned assumes all and exclusive responsibility for the preservation of order, and the sole, exclusive liability for any injury of persons, and damage to, or loss of property that may result from this use: and for the due observance of all regulations of the Board of Trustees of the Geneva Public Library and acknowledge receipt of the rules and regulations regarding the use of the meeting room.â€
Scheduling and use of the meeting room shall be at the discretion of the Director on a case-by-case basis in accordance with these guidelines.
